THE CLEARY CENTER | RESERVATION GUIDELINES
We hope you will enjoy hosting your events at the Cleary Alumni and Friends Center. To facilitate proper usage of the Cleary Center, the following guidelines have been established:
GENERAL POLICIES
- The Cleary Center is to serve as a gathering place for all friends and alumni of the University and as a conference facility. The building is intended to be an integral part of the University campus and to provide services and a conference and meeting facility for Regents, faculty, staff, students, parents, and other members of the University community and the greater La Crosse community.
- Priority for usage of the facility shall go first to Group A (university departments and groups), then Group B (university-sponsored and non-profit groups), and finally Group C (commercial users). Scheduling, within these guidelines, will be on a first-come, first-serve basis and no reservation will be "bumped" except by the mutual agreement of the parties.
- Reservations will be limited to the room or area reserved. The Cleary Center manager must approve the use of other areas.
- All functions held in the Cleary Center must be by invitation or registration only, i.e., there must be a reliable count on the number of people attending an event to provide adequate services and to comply with fire ordinances. "Open invitations" or "open to the public" functions are not permitted.
- All reservations must be made at least ten (10) days in advance of the function. Those requesting reservations less than ten (10) days in advance are subject to approval and availability.
- Reservations will not be accepted more than 12 months in advance.
- Reservations can be made for events in the Cleary Center from 6 a.m. to 12 midnight.
- Free use of the Center for religious worship by or for profit organizations and their activities is prohibited. University facilities may be rented at commercial rates for a short term.
- The Cleary Center may be used for political events involving candidates for public office when sponsored by faculty, staff or student organizations for educational/ informational purposes. For non-sponsored political activities the facilities may be rented.
- Use of the Cleary Center patio and other outside grounds for functions are subject to all policies and procedures for use of the building itself.
- In compliance with applicable federal and state law and University policy, the Cleary Center does not discriminate against any persons or organizations on the basis of age, race, color, religion, sex, national origin or ancestry, sexual orientation, arrest or conviction record, marital status, disability, political affiliation, or veteran's status.
- The Cleary Alumni & Friends Center Committee reserves the right to refuse the use of the Cleary Center when, in their opinion, the granting of such privileges would be detrimental to the best interest of the Center or the University.
- Lost or misplaced items are not the responsibility of the Cleary Center or its management. Found items will be kept in the Cleary Center for a few days and then sent to campus Protective Services.
ROOMS AVAILABLE FOR MEETINGS, BANQUETS, ETC.
FRAZEE ADMINISTRATIVE CONFERENCE ROOM (room 112)
- Smaller conference room with a permanent oval table that can hold 12 individuals comfortably.
ALLEN CONFERENCE CENTER (ROOM 125)
- This room is a mid-size conference room which holds up to 36 people comfortably in a conference-style setting; 70 theatre style)
- Small banquets of up to 36 people are comfortable in this room.
STRZELCZYK GREAT HALL (Banquet hall)
- Great Hall - banquet hall that can hold 50-275 people, depending on setup.
- 50-150 people is recommended for banquet events; up to 275 people for theatre style with just chairs.
GUEST ROOMS
The Cleary Center has three guest rooms which are available for University-related use only. All sponsoring departments or units are responsible for their respective guests and shall be required to execute a reservation form with the Cleary Center Management consistent with the terms of these policies.
- Cleary Center guestrooms will be available for University related use only.
- Rooms may be reserved by and will be billed to only UW-La Crosse institutional entities, i.e., the Chancellor and Vice Chancellor, or their designee; the deans, or their designees; department chairs or unit heads; the UW-L Foundation; and the UW-L Alumni Association.
- Guestrooms are generally available for occupancy at 4 p.m. Checkout is by no later than 1 p.m.
- The Cleary Alumni & Friends Center is a totally smoke-free facility.
- Reservations should be made at least ten days prior to arrival. The Cleary Center will not accept requests for reservations more than 12 months in advance.
